What we do with your information when you contact us, and what you can ask us to do about it.
Last updated: September 2026
Who we are
Soar Plumbing and Heating (“we”, “us”) provides plumbing, heating and bathroom installation services across West Sussex. We are the data controller for the personal information described in this policy. You can reach us at [email protected] or on 07769 266111.
What we collect
When you contact us through the website, by phone or by email, we collect:
- Your name, phone number and email address
- Your postcode and, where relevant, your full address for the work
- Details of the work you are enquiring about, including any photographs you send us
- Property type and how soon you need the work
Our website also collects limited technical and usage information through analytics, described in our cookie policy.
Why we use it, and our lawful basis
- To respond to your enquiry and provide a quote. Lawful basis: taking steps at your request prior to entering a contract.
- To carry out and administer work you have booked, including scheduling, ordering materials, invoicing and issuing certificates. Lawful basis: performance of a contract.
- To meet legal and regulatory obligations, including gas safety notification to building control, retention of gas safety records and accounting requirements. Lawful basis: legal obligation.
- To understand how the website is used so we can improve it. Lawful basis: consent, given through the cookie banner, which you can withdraw at any time.
Finding your property on the map
If you use the property map, postcode searches are looked up with Postcodes.io, and address searches or selected map coordinates are looked up with Photon (run by komoot, using OpenStreetMap data). Map tiles are provided by OpenFreeMap and Mapzen terrain data. Your selected address stays in this page until you submit an enquiry or leave it; we do not put it in browser storage or analytics. When you submit, the checked address and selected map coordinates are included with your enquiry.
What we do not do
We do not sell your data. We do not add you to a marketing list because you asked for a quote. We do not share your details with third parties for their own marketing.
Who we share it with
We share the minimum necessary with the following, who act as processors on our behalf or who we are legally required to notify:
- Our email and website hosting providers, so your enquiry reaches us
- Google Analytics, for anonymised website usage statistics, subject to your consent
- Building control and the Gas Safe Register, where work is notifiable
- Subcontracted trades working on your job, such as an electrician, who receive only your name, address and the details they need to attend
- Our accountant and, where necessary, HMRC, for invoicing and tax records
How long we keep it
- Enquiries that do not become work: up to 12 months, then deleted.
- Completed jobs: at least 6 years, to cover invoicing, warranty and tax record-keeping obligations.
- Gas safety records and certificates: as required under the Gas Safety (Installation and Use) Regulations, at minimum 2 years, and generally longer where they relate to an installation we warrant.
Your rights
Under UK GDPR you have the right to:
- Ask what personal data we hold about you and receive a copy
- Have inaccurate data corrected
- Ask us to delete data, where we are not legally required to keep it
- Object to or restrict processing in certain circumstances
- Withdraw consent for analytics at any time
To exercise any of these, email [email protected]. We will respond within one month.
Complaints
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Security
Enquiries submitted through this website are transmitted over an encrypted connection. Access to enquiry data is limited to the people who need it to quote and carry out the work.
Changes to this policy
If we change how we handle personal data we will update this page and change the date at the top of it.
